ERP Implementation Reduced 60% on Operational CostHow We Aced ERP Implementation, Resulting In a 60% Reduction In Operational Costs?

Problem Statement

One of our clients consulted us regarding the operational hazard within their organisation.

They were having a lot of problems regarding the management side of things, and due to the high attrition rate, they were continuously involved in a loop of training new resources only to see them leave, which was affecting their business quite a bit.

Our Analysis

From the very first meeting, we knew that the problem was that all their processes involved human interaction, and there was a need for automation.

Additionally, the client was in the healthcare sector's offline retail and e-commerce business, so they needed something robust.

In the end, we suggested going for an ERP (Enterprise resource planning), Which could be customised to their business needs.

To which they agreed, and we started the development.

Solution Offered

After the analysis and figuring out the blueprint for the solution we had in mind, it was time to bring it to life.

So, we started, and this is what the whole process looked like:

  1. We begin with brainstorming with SMEs, developers, and representatives from the client's end.
  2. After the blueprint was ready, we moved the project into development.
  3. Soon afterward, we prepared a design.
  4. Upon final approval of the design, we move forward with the backend and finish with that in a relatively short time.
  5. Finally, we signed the NOC, handed over the Web App and the rights to the client, and deployed it, making it come to life.
  6. Lastly, we provided handholding and multiple sessions of knowledge transfers.

Results

The major problem faced by the client was inventory management, keeping records, and vendor/customer management. We filled the gaps in all those areas by making the process automated.

Earlier, the client used five individuals to maintain their operations; now, they have switched to only using two individuals for the same task, which is a 60% reduction in the operational cost for the client.

Also, we reduced their spending on 'training new resources' as the Webapp is simple to understand, easily accessible, and has a lot of automation.

FAQ &Frequently Asked Questions

In this case, the firm operating in the healthcare, and e-commerce sector, consulted us to find a solution for the problems with their internal operational hazard.

ERP was the best choice for such a scenario due to two reasons. The first was to get their business process in order, and the second was to reduce human involvement in everything they did.

Both of these could quickly be done by an ERP implementation as the systems are customised according to each business personally, catering to the best possible operational streamlining of things.

A company's profitability improves via the introduction of ERP that makes specific operational processes like digitization of streamlined operations, processing of accurate information, automation of day-to-day tasks, reduction of operational overheads, and creation of optimal production results both easy and cost-efficient.

ERP has earned a good reputation for cutting costs and creating an optimal performance-oriented workspace.

ERP also updates workers with their assigned tasks. It streamlines conducting meetings, issuing notifications, streamlining schedules, etc., by intelligently managing the workforce.

Moreover, ERP software helps track employees' attendance by introducing biometric attendance, saving time and money on stationary procurement by conducting paperless online office work, reducing wastage by efficiently managing inventory, and safeguarding the management of documents by implementing a cost-effective DMS system.

All these things, taken together, lower the operational cost of a company.

Some prominent industries are using ERP to smoothen out its process as follows:

Health Care Industries
The healthcare industry involves managing patient care, payroll, supply chain, and compliance. Every one of them can be streamlined via the use of ERP. Private practitioners and hospitals can use ERP software to help cut down costs, save time, and add agility.

Hospitality Industry
In the Hospitality Industry, several moving pieces have to work in tandem to fetch the best Service to a customer. Therefore, introducing ERP in Hospitality Management can help to cut costs and manage workload.

Service Based Industry
Professional Service based Industries can very well use the ERP software. ERP helps in keeping the record of employees and capturing data most efficiently. As a result, the billing cycle can get reduced. It also helps keep inventory in control, which helps gain profit and cut extra costs.

Manufacturing industries
With the change in the global economy, customer demands are also seeing new reforms. ERP helps regulate supply Chain management and inventory management for manufacturing industries, which leads to the customers' happiness.

Nonprofit Organisations
ERP is used in Nonprofit Organisations to increase efficiency and compliance. It helps to regulate payroll sections, financial reporting, and budget control among nonprofit organisations.

ERP implementation lifecycle is the time taken to employ an ERP ecosystem in the working pattern of a company. The implementation of life cycle ERP involves several steps in it.

Discovery and planning remain the foremost two vital aspects of implementing the lifecycle. During the discovery and planning stage, a project team is formed that starts with the basic construction technique of the ERP model. This structural plan serves as a source of legit reference during the project.

Initial meetings should also occur in this stage, and documentation of the team's proceedings should start. These documents should preserve details about the team's issues and how they planned solutions for them. During the same phase, the team should research and select a system. The selected system is expected to be further documented with precision and detail.

Post this phase comes to the design, development, support, and deployment. Reengineering and testing are carried out in this stage to smoothen the process further.

Finally comes the implementation part, where collected and analysed data are fed to the system.

After implementation, employees maintain the system by staying updated with the latest technology offerings. Usually, the time of implementing an ERP life cycle varies from 6 to 12 months. But if the project is complex, it can take more time too.

Startups can also use an enterprise Resource Planning system or ERP. In a startup, ERP can help streamline all the processes like human resources management, finance management, supply chain management, inventory management, and project management, among many other things.

And on top of everything, it is designed according to the needs of the business, which is why it can be adapted as a solution for any small, medium, or a big corporation.

Especially in the case of Startups, they need better organisational skills to move to the next level.
